A key part of the lead process is keeping customers and potential customers engaged while not pestering them. Sending marketing emails is key in communicating information, product features and updates, and promotions, but knowing when to follow up is often missed.
With SugarChimp, Mailchimp campaign activity is synced back to your CRM which is useful in knowing their level of engagement but can also be used to kick off workflows and notifications that enhance your process. These steps will walk you through creating a notification using SugarBPM to be sent to a Sugar assigned user when a URL within a campaign is clicked by a subscriber. The process can be adjusted to fit your needs.
Note: The process outlined below uses SugarBPM (formerly known as Advanced Workflows). Information for SuiteCRM can be found here.
Prior to completing the steps below:
- Create a process email template. This is the email that will be sent as a notification.
- You must have your SugarBPM scheduler running.
- Sugar must be allowed to send outbound emails. This can be updated by navigating to Admin and clicking on Email Settings.
- From within Sugar, navigate to the Process Definitions module.
- Click Create and provide a name and select the Target Module. (For this example, we're sending a notification to the assigned user of a contact once a URL is clicked within a Mailchimp campaign so we will select Contact.)
- Click Save & Design.
- Drag a Start Event onto the design canvas and rename it as desired.

- Right-click on the Start Event and click Settings. From there you'll establish the event criteria, such as when the Mailchimp Campaign Activity Type is Clicked:

- Click Save.
- Drag a Send Message event to the design canvas and rename it as desired:

- Right-click on the Send Message event and click Settings to provide the email template and recipient who should be notified.
- Click Save.
- Drag an End Event onto the design canvas and connect the prior event to it.

- Click the Save icon.
- When complete, you can then enable the process definition using the steps here.
